Join Maersk Supply Service as an Executive Assistant, where you will provide essential support to our CEO and Senior Management Team by coordinating meetings, managing calendars, arranging travel, ensuring administrative processes run efficiently and by supporting on a feel ad hoc projects — all while helping to improve workflows and optimize resources.

What will you do:
- Operate in a sustainable way, allowing transparency and consistency with our processes. Take initiatives for proper, timely action in all respects, and make suggestions for improvements and cost savings.
- Preparing meeting material, presentations, speeches and travel documents.
- Follow-up on tasks and assignments given by the CEO to direct reports upon request.
- Handle all administrative matters, hereunder timely processing of invoices, expense reports and settlements.
- Purchases for and on behalf of the CEO.
- Maintaining the CEO’s calendar and provide holiday planning overview for the senior management team.
- Ensure coordination with stakeholders to provide streamlined services to the CEO.
To succeed in this role you need to:
- Possess a bachelor’s degree in business, administration or related areas.
- Have previous working experience supporting C-level members.
- It is a well organized individual.
- Have the ability to multi-task and to have costumer centricity focus.
- Excellent communication and coordination skills.
- To be a natural team player with a proactive behavior.
- Good IT knowledge in particular MS Outlook, Word, Excel, SharePoint and specifically PowerPoint.
- Proficient in verbal and written English and Portuguese.
