Key responsibilities:

As our new Project Operations and Logistics Assistant for Maersk Supply Service, you will support the continued development of Maersk Supply Service Latin America into a Solutions company. Your primary responsibility will be to control that Project materials are properly handled and documented, while assists the team to deliver the Project within schedule. You will report to the Project Operations and Logistics Manager and will play a key role in ensuring the Project Logistics base receive, stores, embark and disembark Project materials in a safe and efficient manner, making sure, together with the team members, vessels have all Project equipment and supplies necessary for offshore execution. You will also follow preparations for operations offshore, helping your Manager to monitor that operations are carried out smoothly and within MSS standards. You will be your Manager’s eyes and hands on different sites.

The role also includes:

  • Maintain equipment inventory for different Projects up to date.
  • Checkas that materials are received as per Purchase Order and communicate any discrepancies.
  • Control materials certificates and expire dates.
  • Takes active part and gives input to HSE supervisors during Project planning and HIRA.
  • Follow up with Procurement and Engineering receipt date of Project materials prior to Mob dates.
  • Collaborate with client in a proficient manner during meetings.
  • Request access on Port for Project personnel and Project third parties whenever applicable.
  • Assists with Control of Project related paperwork, hereunder control of receipt for received items at the base.
  • Issue Daily reports for logistics base.
  • Interface with transport companies and ensure timely arrival, proper documentation and permits.
  • Record timings, movements etc. according to procedures for all Logistic base movements and activities.
  • Coordinate people visiting the logistics base.
  • In the absence of the Project Logistics and Operations Manager, interfaces between various stakeholders, Logistics Base, Port, Vessels, authorities.
  • Ensure that Minutes of Meeting of daily operations planning with Port is properly documented and that all minutes are duly followed up, actioned and recorded.
  • Coordinate with port for proper planning of vessels port operations and interface with external parties, subcontractors, authorities during and prior Port stay.
  • Supervise Port operations execution and makes sure they are carried out safely and correct materials are embarked.
  • Follow Client audits onboard Project vessels and onshore support bases.
  • Assists on Project operations preparations as requested.
  • Capture Lessons learned and suggest improvement points.

  • Has at least a bachelor’s degree in an industry relevant education
  • Has relevant experience (min. 1 year) from working in the offshore marine industry preferably with subsea constructions or marine operations.
  • Is a problem solver and has the ability to foresee logistical and operational challenges in advance
  • Understanding of contractual law, regulations and legislation relevant to the Oil & Gas Industry.
  • Thrive in a flexible environment with a multitude of different tasks.
  • Have a strong analytical mind-set to influence and drive projects and can provide structure and overview in a complex environment.
  • Has the ability to communicate at all levels, pro-active and open in communication with all interfacing parties both internally and externally.
  • Has good stakeholder management skills
  • Has a proactive and innovative mindset.
  • Experience with IFS is desirable.
  • Fluency in verbal and writing communication in Portuguese and English is a must have for the position.
